Generative AI Policy
Overview
The Journal of Advanced Science and Applied Engineering (JASAE) recognizes that generative artificial intelligence (GenAI) and AI-assisted technologies may be used to support scholarly writing, language improvement, editing, translation, formatting, and research communication. However, their use must be transparent, ethical, and responsible, and must not compromise academic integrity, originality, confidentiality, authorship responsibility, or the reliability of the published scholarly record.
This policy applies to all parties involved in the publication process, including authors, reviewers, editors, editorial board members, and editorial staff.
For Authors
Authors may use GenAI tools only as supporting tools in the preparation of manuscripts, such as for language editing, grammar correction, translation assistance, formatting, or improving readability. Authors remain fully responsible for the accuracy, originality, validity, and integrity of all content submitted to JASAE.
GenAI tools must not be listed as authors or co-authors. Authorship requires intellectual contribution, accountability, responsibility, approval of the final manuscript, and the ability to respond to questions regarding the work, which AI tools cannot provide.
Authors must disclose any use of GenAI or AI-assisted technologies in the manuscript. The disclosure should state the name of the tool, the purpose of use, and the part of the manuscript or research process in which the tool was used. Authors are responsible for reviewing, editing, verifying, and validating all AI-assisted outputs before submission.
Authors must not use GenAI tools to fabricate, falsify, or manipulate data, citations, references, images, figures, ethical approval information, authorship information, or research findings. Any AI-assisted content that affects the scientific meaning, interpretation, or presentation of the manuscript must be carefully checked and clearly disclosed.
Suggested disclosure statement:
Declaration of Generative AI and AI-Assisted Technologies Use: During the preparation of this manuscript, the author(s) used [name of tool/service] for [purpose of use]. The author(s) have reviewed, edited, and verified all AI-assisted outputs and take full responsibility for the content of the manuscript.
If no GenAI tools were used, authors may state:
Declaration of Generative AI and AI-Assisted Technologies Use: The author(s) declare that no generative AI or AI-assisted technologies were used in the preparation of this manuscript.
For Reviewers
Reviewers must maintain strict confidentiality throughout the peer-review process. Manuscripts, figures, tables, data, supplementary materials, reviewer forms, and editorial correspondence must not be uploaded, copied, or processed using public or third-party GenAI tools.
Reviewers may use AI-assisted tools only for limited support, such as improving the grammar or clarity of their own review comments, provided that no confidential manuscript content is entered into the tool. Reviewers remain fully responsible for the originality, accuracy, fairness, and professional quality of their review.
GenAI tools must not replace the reviewer’s expert judgment. Peer-review comments, assessments, and recommendations must be based on the reviewer’s own critical evaluation of the manuscript’s originality, methodology, results, discussion, ethical compliance, and contribution to the field.
If AI-assisted tools are used in preparing review comments, reviewers should disclose this use to the editor.
Suggested reviewer disclosure statement:
Declaration of Generative AI Use in Review: I used [name of tool/service] only for [purpose, e.g., language editing of my review comments]. No manuscript content, figures, tables, data, or confidential editorial materials were uploaded to or processed by the tool. I take full responsibility for the content of this review.
For Editors and Editorial Staff
Editors and editorial staff of JASAE must ensure that the use of GenAI does not compromise editorial independence, confidentiality, fairness, transparency, or the integrity of editorial decisions.
Editors must not upload unpublished manuscripts, reviewer comments, author responses, figures, tables, data, or confidential editorial correspondence to public or third-party GenAI tools. Editorial materials must be treated as confidential throughout the editorial and peer-review process.
AI-assisted tools may be used only for limited administrative or language-support purposes, such as improving the clarity of editorial correspondence or checking grammar. However, GenAI must not replace human editorial judgment, peer-review evaluation, conflict-of-interest assessment, ethical assessment, or final publication decisions.
All editorial decisions must be made by qualified human editors based on scholarly merit, methodological rigor, ethical compliance, reviewer evaluations, relevance to the scope of JASAE, and contribution to the field.
Prohibited Uses of Generative AI
The following uses of GenAI are not permitted in JASAE publication processes:
- Listing an AI tool as an author or co-author.
- Generating, fabricating, falsifying, or manipulating research data.
- Creating fake references, unverifiable citations, or fabricated sources.
- Producing peer-review reports without genuine human evaluation.
- Uploading confidential manuscripts or review materials to public AI platforms.
- Using AI to conceal plagiarism, duplicate publication, data manipulation, or authorship misconduct.
- Generating misleading figures, images, tables, or results that do not represent actual research data.
- Submitting AI-generated content without verification, accountability, and disclosure.
Editorial Action on Suspected Misuse
If undisclosed, inappropriate, or unethical use of GenAI is suspected, JASAE may request clarification, revision, disclosure, original data, source files, or supporting documentation from the author, reviewer, or editor involved.
Depending on the severity of the case, JASAE may reject the manuscript, request correction, withdraw the manuscript from consideration, issue a correction or retraction for published work, or refer the matter to the relevant institution or ethics body.
Accountability
The use of GenAI does not reduce the responsibility of authors, reviewers, editors, or editorial staff. All parties remain accountable for the content they submit, review, evaluate, approve, or publish. Transparency, confidentiality, ethical conduct, and human oversight are mandatory in all uses of GenAI within JASAE’s publication process.
